Switching Airbnb Management Company: When and How to Do It
You handed your apartment over to a management company, but something is no longer right: statements you do not understand, reviews going down, messages left unanswered. Changing manager can feel daunting: you worry about losing your bookings and your reviews, or ending up with nobody on site. Yet with good preparation, the switch can happen without any interruption.
The signs that don't lie
On transparency
- The monthly statement arrives late, or not at all.
- Expenses appear with no invoice or photo.
- You have no access to your calendar or to the details of your bookings.
- The numbers change from one month to the next with no explanation.
On quality
- Guest reviews mention cleanliness, linen or check-in.
- The neighbors or the vaad bayit (building committee) complain.
- Small problems (air conditioning, a leak, a light bulb) drag on for weeks.
- You discover the state of the apartment during your own stay, and it disappoints you.
On results
- Bookings fall even though the season is good.
- Prices never move, holidays or not.
- The photos and the listing have not changed since day one.
A single sign can be an accident. Several signs at once, over several months, point to a deeper problem. If bookings are the main issue, start with the 10 most common reasons an apartment isn't booking.
Before leaving: ask for an explanation
Start with a frank conversation, backed by numbers. Ask for the occupancy rate, the average nightly rate and a breakdown of expenses over the past few months (our article on calculating net yield explains these indicators). A good management company answers precisely. If the answers stay vague, you have your answer.
7 steps to a successful switch
1. Reread the contract
Notice period, end date, any termination fees, what happens to bookings already accepted: everything is (or should be) in writing. Also check what the contract says about the listing and the photos.
2. Find out which account the listing is on
This is the most important point. If the listing is published on your own account, with the management company as co-host, you simply remove the old manager and add the new one: the listing and its reviews stay. If it is published on the management company's account, the company controls it, and you will usually have to create a new listing, without the reviews built up over time.
3. Organize upcoming bookings
List the confirmed bookings after the switch date. Agree in writing on who welcomes these guests, who does the cleaning, who collects the payment and who is paid for these stays. Guests should not notice a thing.
4. Collect your documents
Booking and payout history, monthly statements, expense invoices, inventory, equipment warranties, contact details of the contractors who know the apartment: these documents will be useful to your accountant as well as to your new manager.
5. Take back the keys and change the codes
Collect all keys, fobs and parking remotes. On the day of the switch, change the smart lock codes and the Wi-Fi password. Let the building's reception know, if there is one.
6. Do a check-in inspection
A room-by-room inspection with photos at the time of the switch. It records the starting point for the new manager and helps settle any disagreement with the previous one.
7. Pick the right moment
Switching in the low season leaves time to redo the photos and review the listing and prices without losing major bookings. Avoid the weeks leading up to the Jewish holidays.
Choosing your next manager
Don't make the same choice for the same reasons. Ask the hard questions before signing: who is on site, how guests are screened, what the monthly statement looks like, how to exit the contract. Read the contract clause by clause, and compare offers on the same basis: see how to read an Airbnb management offer.
